Job Description

MTR Child & Family Services is seeking a  Part-Time Office Administrator  to provide essential administrative support, including auditing program hours and other auditing tasks. This role focuses on maintaining organized office operations, ensuring records are accurate and complete, and helping staff keep our office running smoothly without client-facing responsibilities.

Note:  This part-time position has the potential to convert to a full-time role based on organizational needs and employee performance.

 

Responsibilities

  • Perform general clerical tasks: filing, scanning, and copying documents.
  • Maintain organized office records (digital and paper) in line with compliance standards.
  • Audit program hours: track, review, and verify staff timesheets or service delivery logs to ensure hours are accurately recorded and meet program requirements.
  • Conduct other auditing tasks, including checking records for completeness and accuracy, identifying discrepancies, and preparing documentation for internal or external reviews.
  • Assist with preparing for audits by organizing files, compiling data, and supporting staff with audit readiness.
  • Perform data entry and update internal databases with meticulous attention to detail.
  • Manage office supplies inventory; order and restock as needed.
  • Prepare and edit correspondence, reports, invoices, and other documents.
  • Schedule internal staff meetings and coordinate calendars.
  • Process incoming and outgoing mail and office communications.
  • Provide administrative assistance for staff projects and daily operations.

Qualifications

P Required Qualifications

  • Proven experience as an Office Administrator, Administrative Assistant, or similar role.
  • Experience with recordkeeping, data verification, or auditing tasks.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks and prioritize effectively.
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
