Basic Responsibilities

  1. Oversee and Manage all athletics department purchasing and accounts payable.
  2. Manage daily athletics department human resource functions and tasks.
  3. Assist in management and organization of documents related to business office.
  4. Assist with departmental audits and reports affiliated with ACU Athletics.
  5. Other Duties as assigned.

Essential Duties

  1. Oversee and manage all athletics department purchasing and accounts payable.
    1. Coordinate and execute financial purchases for all athletics teams and department within departmental budget.
    2. Maintain all department purchasing cards for check out.
    3. Organize, reconcile and reallocate receipts from each purchasing card to appropriate account.
    4. Work closely with the Accounts Payable/Finance office to troubleshoot and ensure consistent and accurate payments.
    5. Assist with departmental deposits and gift receipts.
  2. Manage daily athletics department human resources functions and tasks.
    1. Work closely with University HR office to ensure completion of all necessary HR tasks for athletics employees including interns and graduate assistants.
    2. Maintain confidentiality as it pertains to all employment matters.
    3. Update and organize all departmental job descriptions.
    4. Process payroll documents and approve timesheets for exempt and non-exempt employees. 
    5. Maintain incoming and outgoing employee procedures and ensure completion. Onboard new employees to the athletics department.
  3. Assist in management and organization of documents related to business office
    1. Manage departmental contracts, leases and other agreements.
    2. Take role in providing continual organization and structure to department’s files, including google drive.
    3. Assist with data and document gathering for NCAA and University reports.
  4. Assist with departmental audits and reports affiliated with ACU athletics
    1. Assist in preparation of financial documents for yearly NCAA Audit.
    2. Assist in preparation of documents for yearly Conference Salary Survey.
    3. Assist in preparation for yearly EADA report.
  5. Other duties as assigned.
    1. Assist Athletics Director with special projects or tasks as requested.
    2. Assist with departmental special events such as Hall of Fame, student-athlete banquet, etc.
    3. Coaches camps reconciliation and tracking
    4. General office administrative duties; ordering supplies, mailing, request work orders, etc.

  4. Ability to manage multiple projects and adhere to deadlines
  5. Computer skills including Microsoft office, Banner, Google Suite is critical.

Qualifications

  1. Professional

  1. Education and/or experience equivalent to high school plus five years experience in business office, accounts payable or related area. Two year or bachelors degree preferred
  2. NCAA Athletics and/or Higher education experience preferable
  1. Personal

  1. Excellent organizational skills and attention to detail.
  2. Proactive approach and attitude. Ability to provide ideas and solutions to challenges.
  3. Discretion, responsibility, honesty, willingness to learn. High level of confidentiality.
  4. Ability to adapt to changes in work pace and flow.
  5. Professional appearance and positive attitude that represents the department well.

Physical Demands

  1. High energy level, ability to maintain several activities at a time.
  2. Ability to manage stress and handle interruptions. 
  3. Light lifting of mail deliveries and office records storage.
  4. Ability to remain focused and sit in one place for long periods of time.
